Import Department Manager

Krenz & Hannan is a family-run freight forwarder, indirect air carrier, and customs brokerage managing increasingly complex import workflows shaped by shifting tariff rules, additional duty codes, and importer-specific requirements. As entry preparation became more demanding, the team needed a way to maintain accuracy and control while keeping operations sustainable.

To meet that challenge, Krenz & Hannan implemented Cervo AI.

The Challenge

Before Cervo, the team was using third-party back-office support for labor-intensive data entry, but still faced accuracy issues, communication friction, and the need for close broker oversight.

As tariff regulations evolved, what were once routine entries became significantly more complex:

  1. Entries now required multiple tariff codes per line item

  2. Large shipments had 50 - 200+ lines

  3. Constant regulatory changes required frequent updates

The team was often spending 15 minutes to an hour or more of active time per entry, depending on complexity. Simultaneously, the complexity drove internal audit requirements to grow from reviewing a small subset of entries to reviewing 100% of entries, raising the operational burden even further.

The Solution

Cervo gave Krenz & Hannan a way to automate document extraction and entry preparation while keeping customs brokers fully in control of review and submission. Two capabilities stood out most.

First, the AI Agent Studio gave the team a practical way to capture importer-specific rules and coach the system on exceptions, document quirks, and classification nuances. That mattered because each importer’s process was different, and a one-size-fits-all workflow would not have worked.

Second, Cervo helped Krenz & Hannan construct its Dynamic Parts Library, using existing parts data, so repeat shipments could be processed with greater consistency over time.

Additionally, Cervo’s NetCHB integration made it easy to move data into the brokerage’s existing ABI workflow, so the team could review and submit entries without adding process friction.

The Results

97%+ accuracy and meaningful gains in consistency

  • Once the system is coached, error rates are “very close to a near-zero margin of error”

  • Improved consistency in HTS classification and tariff application

  • Fewer internal revisions required during audits

Up to 80% reduction in active processing time

  • 15 - 60+ minutes per entry → 5 - 10 minutes

  • Entry creation became largely automated, with time shifting to:

    • Initial setup

    • Review and validation

Reduced operational strain and improved team capacity

  • Less time spent on repetitive data entry

  • Ability to keep up with increasing workload

  • More time available for:

    • Customer communication

    • Business development
